How to Manually Link your Standalone Invitation Email to a Form

Learn how to link a standalone email to your RSVP form in case you require more flexibility communicating with different guest segments

On some occasions, you may require the flexibility to use (and duplicate) your invitation email and response form independently from each other.

The good news is that you can manually link any form to a standalone email via the 'Button' tab on the email composer or you can add a form tag on the email text. This option will behave in the same way as the standard 'Email and Responses Form' template, but will give you greater flexibility to choose which form to link to which email.

You might prefer setting your RSVP invitation up in that way, in case you would like to:

  • Send your invitation email in different languages but have all your responses go through the same form.

  • Ask your guests to e-sign the same consent form, but through different invitation emails.


  • Tailor the email text of your invitation to different guest segments (VIPs, sponsors, partners, clients, etc.) but have every guest RSVP via the same response form.

  • Send RSVP reminders without having to work off two (or more) response form reports.

If any of the above applies to you, we recommend working with standalone emails and linking them to a specific responses form(s) of your choosing.


How to Create a Standalone Email or Form

To create your standalone email(s), form(s) and consent form respectively:

  1. Click on the golden 'Create Invitation' button

  2. On the Template Overview Screen, click on the ‘Standalone Email’ and/ or ‘Responses Form’ options

If you need to use a consent form, make sure you enable it on your event via the ‘Consent Form’ tab or via the ‘Edit Event’ section under the ‘Event Settings’ tab on the left hand side. This article explains in detail how to set up consent forms on your event and invitation.

After you have set up your email and form templates you can further create a few different copies of them, as required. These can then be edited separately from each other. This article has more information on how to duplicate emails and forms.

How to Link your Email to a Form

As shown in the example below, you can then go ahead and link your standalone invitation email (for your VIP guests, for instance) to your event's main response form.

To do this:

  1. Go to the ‘Button’ tab on the email composer and switch it to 'On'

  2. Scroll down to find 'Link Button' option on the Button tab

  3. Toggle the 'Link Button' option to 'On'

  4. Select ‘Consent Form’ to link your consent form, or select ‘Form’ and then choose which one to link from the dropdown menu


  5. Click 'Save Changes'

Alternatively, you can link your form to your email using the dynamic form tags on the text part of your email composer. Click on the ‘Form Tags’ dropdown menu and select the respective form you want to link.

Please note: when duplicating an event or email that contains a form tag, the form tag will stay linked to the original form. We recommend you to always update the form tag via the drop-down menu on the top of the text composer.
