How to Add Guests from Events to Your Audience Contact List

Once you enable the integration between Events and Audience, you can create new contacts in Audience using guests' data stored in Events

There are three different ways to add new contacts to your zkipster Audience contact list:

On this article, you will learn how to import your guests' data from your zkipster Events account to create contacts in Audience.

✅ Step 1: Activate the Integration and Set Unique Identifier (UID)

Before importing your first batch of guests from Events to Audience, you must purchase a zkipster Audience subscription and configure the integration between Audience and Events.

To successfully integrate zkipster’s Events and Audience platforms, the integration must be activated on both systems and can only be configured by users with an Admin account permission scheme.


On the Events Side

  • Navigate to Account SettingsIntegrations (in the sidebar).

  • Toggle ‘Audience’ ON to activate integration.

On the Audience Side

  • Navigate to the Integration screen (from the sidebar).

  • Toggle ‘zkipster Events’ ON.

  • Choose a Unique Identifier (UID) from the dropdown (e.g., Email, Phone Number). This UID is used to match individuals across both systems.

How UID Matching Works:

  • zkipster searches for the UID value in both:

    • The Events Guest Lists

    • The Audience Database

  • If a match is found, the guest is linked to the existing Audience contact and their contact profile is updated with information from their guest profile from Events.

  • If no match is found and the option "If the Event unique ID field is empty..." is checked, a new Audience contact is created.


⚙️ Step 2: Configure your Automation Settings (Automated Sync)

You can determine how contact vs. guest syncing between Events and Audience should function: either automatically or manually.

Please note: The automation only applies to new or updated Events. To sync past event data, the sync has to be triggered manually. Please check Step 3 below for more information.

Automation Options:

If you want the creation and updating of contacts in Audience using your guests' data from Events to happen automatically, you should enable these actions from the 'Step 2' section of the Integration screen in Audience:

  1. “If Guest is Created > Create Contact in Audience”

    • When a guest is added to an Event, a corresponding Audience contact is automatically created (if no existing contact with the same UID is found).

    • Example: Add John Doe (john.doe@zkipsterevents.com) to an event. If no contact exists with this email in Audience, it creates one.

  2. “If Guest is Updated > Update Contact in Audience”

    • When guest data is updated in Events, the corresponding Audience contact is automatically updated—only if the UID matches.

    • Example: John Doe’s email matches between Events and Audience, and changes made to his guest profile will reflect in his Audience contact.

Please note: Deleting a guest in Events does not delete the linked contact in Audience.

Custom Fields Sync

  • Toggle ON “Create Custom Fields” to allow any custom fields used in Events to be automatically created in Audience.

  • If OFF, those fields won’t sync unless they already exist in Audience.

    • Example: A new "Dietary Requirements" field created in Events will auto-create and sync in Audience if this setting is enabled.

Pro Tip: If you enable the 'Create Custom Fields' option, make sure to use the same custom field name across your events and in Audience to avoid having duplicate fields being created. For example, instead of creating a custom field named 'Dietary Requirements' on one event and a field named 'Dietary Preferences' on a different event, use the same field name across both events.


📥 Step 3: Import Guest Data from Events Manually

To manually sync guests' data from your zkipster Events account with your zkipster Audience contact list, the process can be initiated from two different places in Audience:

Open the 'Contacts' screen > click on 'Add Contacts' > select 'Import from Events'.


Alternatively, open the 'Integrations' screen > click on 'Import Existing Events' from the bottom of the page.

Once you click on the 'Import from Events' or 'Import Existing Events' button, select the events you want to sync from the dropdown menu or search the events by name.

If Importing from a Single Event:

Choose whether to import data from:

  • All guest lists

  • Specific guest lists

On the next screen:

  • Confirm or change the UID for this import.

  • Select whether to include guest relationships.

  • Map and match guest fields manually if needed.

  • Click ‘Import Contacts’ to finish.

If Importing from Multiple Events:

  • Choose which custom fields to include using the ‘Import Custom Fields’ dropdown.

  • Optionally, select ‘Create available relationships’ to import guest relationships.

  • Click ‘Import Contacts’ to complete the process.


Step 4 - Check for Duplicates, Data Conflicts and Errors

Once your guests' data have finished syncing with your Contacts database, you can find a summary of your import by navigating to Task Manager, and then clicking Open Report. Reports will be available to view for 24 hours.

From the report pop up, you can see how many next contacts were created, how many existing contacts were updated and if there were any data conflicts that need to be resolved:
