Before you start
• Your Salesforce account is connected. See How to Connect Your Salesforce Account to zkipster.
• Your Event Permission Scheme includes the Salesforce Integration permission, under advanced settings. It is included in the Administrator scheme.
• To create new Campaign Members for guests added in zkipster, the Lead field setting must be saved. See How to Set Up the Lead Field for the Salesforce Integration.
• The connected Salesforce user needs Edit access to every Salesforce field you plan to write to.
• If you export guest statuses, the Salesforce Campaign has Campaign Member statuses that match zkipster’s guest statuses. See Setting up Campaign Member statuses at the end of this article.
Step 1: Select the guests
1. Open your event.
2. To export one guest list, open that list. To export the whole event, open All Guests.
3. Select the guests you want to export, or select all.
4. Click Actions and choose Export to Salesforce.
Step 2: Choose the export action
Choose what the export should do.
You can select one option or both, so a single export can update existing Campaign Members and create new ones at the same time. At least one option must be selected.
Option | What it does | Which guests it affects |
Update existing campaign members | Updates Salesforce records for guests who were imported from Salesforce | Only guests with a Salesforce ID. Other selected guests are skipped. |
Create new campaign members | Creates a new Lead in Salesforce and adds it to the Campaign | Guests created in zkipster, such as walk-ins or guests added manually |
The top of the screen summarises how many of the selected guests will be updated or created.
Please note: Create new campaign members is locked (shown with a lock icon) until the Lead field setting is saved. If the chosen field no longer exists in Salesforce, you see a warning with a link to Settings.
Step 3: Choose which Salesforce objects to update
You decide exactly which Salesforce records change. Nothing is selected by default. Tick the objects you want to update:
• Campaign Member: event-specific data, for example status or attendance
• Contact
• Account
• Lead
Pro Tip: if you only want to record what happened at this event, update the Campaign Member only. Your Contact, Lead and Account data stays untouched.
Step 4: Map zkipster fields to Salesforce fields
For each object you ticked, choose which zkipster guest field goes into which Salesforce field. Every field is set to Skip by default, so only the fields you map are changed.
• Use the search to find fields quickly. Salesforce objects often have well over 100 fields, including your custom fields.
• You can map the same zkipster field to several Salesforce fields, for example last name on both the Lead and the Contact.
• When you create new Campaign Members, Last Name and Company must be mapped on the Lead, because Salesforce requires them.
Empty values never delete data in Salesforce. If a mapped field is empty in zkipster, the Salesforce value stays as it is. When creating new Leads, guests without a Last Name or Organization get a dash (-) in Last Name or Company, because Salesforce requires both.
Your field mapping is saved to your zkipster user for future exports. The object ticks from Step 3 are not saved, by design, so tick the objects you want to update each time you export.
Please note: if you map Guest Status to the Campaign Member Status field, the Campaign in Salesforce must already have matching statuses: Unconfirmed, Confirmed, Declined and Checked-in. Otherwise, Salesforce gives those guests the Campaign’s default status, usually Sent. See Setting up Campaign Member statuses below.
Step 5: Choose the Campaign and export
1. Select the Salesforce Campaign to export to. This is usually the Campaign you imported from.
2. Click Export.
What happens next
• The export runs in the background and does not block your event. You and your team can keep working while it runs.
• zkipster takes a snapshot of the selected guests when the export starts. Changes made to guests after that point are not included.
• You receive an email with the results. If any records failed, the email tells you to check the Activity Log.
• The record count counts Salesforce records, not guests. Creating one new guest usually means two records: a Lead and a Campaign Member.
Please note: Salesforce accounts can be customised with locked fields, required fields and validation rules. zkipster cannot see these rules in advance, so some records may be rejected by Salesforce. The Activity Log shows exactly which records failed and why. See Salesforce Activity Log and Troubleshooting Failed Exports.
Setting up Campaign Member Statuses
The export does not create Campaign Member statuses in Salesforce. Before you export, the Campaign needs a status for each zkipster guest status: Unconfirmed, Confirmed, Declined and Checked-in.
If a status is missing, Salesforce gives those guests the Campaign’s default status instead, usually Sent. For example, checked-in guests exported to a Campaign without a Checked-in status will show as Sent.
To add the statuses (your Salesforce admin may need to do this):
In Salesforce, open the Campaign.
Go to the Campaign Member Statuses related list (in Lightning Experience, on the Related tab).
Click Edit or New and add any of the four statuses that are missing.
Save.
