Private forms are linked to each guest's profile through a unique Campaign Token. Ideally, guests get their personal link through a zkipster invitation campaign. But sometimes you may need to send the link from somewhere else instead, for example:
Some guests' organizations block emails sent through zkipster.
You want to send the invitation from your own email account or newsletter tool.
A guest asks you to resend their invitation directly.
You can build each guest's personal form link yourself by adding their Campaign Token to the end of your form URL. Doing this by hand works for one or two guests. For longer lists, you can use zkipster MCP so your AI assistant can build every link for you in seconds.
Before you start
The guests must already be in your event's guest list.
You need an invitation campaign with a Response Form. The campaign can be a draft or already sent.
To use the quick method, you need access to an AI assistant (claude.ai or the Claude app). Connecting the zkipster MCP is optional (see the tip at the end of this article).
Step 1: Copy your form URL
Open the invitation campaign and go to the Form part.
Open the Settings tab and change Form Access to Public. This shows the form URL.
Copy the form URL.
Change Form Access back to Private.
Please note: While the form is set to Public, anyone with the URL can register for your event. Switch it back to Private as soon as you've copied the URL.
Step 2: Export your guests
Go to your guest list and select the guests you want to send the form to.
From the Action dropdown menu, select Export.
The spreadsheet includes a Campaign Token column. This is the value that links each guest to their private form.
Step 3: Ask your AI Assistant to build the links
Open a new chat in your AI tool, upload your exported spreadsheet, and paste the prompt below. Replace the parts in brackets before sending.
I've attached a zkipster guest export. My private form URL is: [paste your form URL here]For each guest in the file, create their personal form link by adding the value in the Campaign Token column to the end of the form URL.Only include guests whose Status is [Unconfirmed]. Return a spreadsheet with these columns: First Name, Last Name, Email, Personal Form Link. Then tell me if any guests were skipped or are missing a Campaign Token.
Your AI tool should return a spreadsheet with one personal link per guest. You can change the status filter, or remove that line to include every guest in the export.
Tip: If your email or newsletter tool supports mail merge, import the final spreadsheet and insert the Personal Form Link column into your message. Each guest then receives their own link automatically.
Step 4: Test a link before sending
Open one of the links in a private or incognito browser window and confirm it opens that guest's form rather than a blank public form. Then send the links from your own email account or tool.
Building a link by hand
If you only need a link for one or two guests, you don't need to use an AI tool. Copy the guest's value from the Campaign Token column and add it to the end of the form URL from Step 1.
Example:
Things to know
Each link is personal. Anyone who opens a guest's link can respond as that guest, so send each link only to the guest it belongs to.
Responses work as usual. When a guest submits the form, their response updates their existing guest profile, just as it would from a zkipster campaign.
Email reporting won't include these sends. Because the email isn't sent through zkipster, opens and clicks won't appear in your campaign's email report.
New guests need a new export. If you add guests after exporting, export them again to get their Campaign Tokens.
Tip for zkipster MCP users: If you've connected zkipster to Claude, you can ask Claude to check the latest guest statuses in your event before building the links. That way, guests who RSVPed after you exported are left out.
