Quick answers to common questions about the Salesforce integration.

zkipster integration for Salesforce

Setup and licences

Q: Do I need to buy an extra Salesforce licence?
A: No. You can connect with a spare or existing Salesforce user through OAuth 2.0, or with one of the free Salesforce Integration licences included in Enterprise, Unlimited, Performance and Developer editions through JWT. See How to Connect Your Salesforce Account to zkipster.

Q: Why should we use a dedicated Salesforce user?
A: Salesforce records the connected user as the creator and editor of every record the integration touches. A dedicated user, for example zkipster Integration, keeps your audit trail clear and does not depend on one employee’s account.

Q: Why does Salesforce show an app called “Workato connector”?
A: Workato is the secure connection service zkipster uses behind the scenes. If you connect with OAuth 2.0, it appears on the Salesforce approval screen and in Setup > Connected Apps OAuth Usage. Workato processes the data on zkipster’s behalf as it moves between zkipster and Salesforce. You do not need a Workato account, and your data is not managed in a separate Workato account.

Q: Do we need our Salesforce admin?
A: Yes, in most cases. Salesforce requires an admin to allow connected apps, and the JWT option is set up entirely by an admin.

Q: We use the previous zkipster app from the Salesforce AppExchange. What happens to it?
A: The new integration is a completely separate app, so there is nothing to migrate, and both can be enabled at the same time. If you uninstall the previous app, Salesforce removes its custom objects and their data, so export anything you want to keep first. Your Client Relations team can help you move to the new integration.

Q: Can we test in a Salesforce sandbox first?
A: Yes. You can connect a sandbox when you set up the integration. Run your tests on a test event, because guests imported from the sandbox stay linked to the sandbox records. To move to production, disconnect on the Setup tab, connect again with Sandbox set to No, then select the Lead field again on the Settings tab. The field must exist in your production org.

Q: How do I switch to a different Salesforce user?
A: Your account can have only one Salesforce connection at a time. Go to Integration Hub, click the Salesforce card, then Configure integration. On the Setup tab, disconnect, then connect again as the other user.

Q: Who in our team can use the integration?
A: Two permissions control this. The Integration Hub account permission gives access to the Integration Hub page, where the connection is set up and managed. It is included in the Admin Access scheme. The Salesforce Integration event permission, under advanced settings, controls who can import and export on an event. It is included in the Administrator scheme. Users without access to Integration Hub can still import and export if their Event Permission Scheme includes Salesforce Integration.

Q: Is the integration available on our plan?
A: It depends on your plan. The Salesforce integration is an add-on, called Integration Hub Connector, available on Enterprise and Professional Annual plans. Once purchased, it works in every event in your account.

Importing and exporting

Q: Can I import Contacts or Leads that are not in a Campaign?
A: No. Add them to a Salesforce Campaign first, then import that Campaign into your guest list.

Q: Does the integration sync automatically?
A: No. There is no automatic sync. You start each import and export yourself.

Q: Can we use custom Salesforce objects?
A: No. The integration works with Campaigns, Campaign Members, Leads, Contacts and Accounts. Custom fields on those objects can be mapped. For custom objects, see Custom Integrations.

Q: Do I have to set up my field mapping every time?
A: No. zkipster saves your import and export mappings to your user and loads them next time. Each user has their own mapping.

Q: How do I export walk-in guests to Salesforce?
A: Save the Lead field setting first, then export with Create new campaign members. zkipster creates a new Lead and adds it to the Campaign. See How to Set Up the Lead Field for the Salesforce Integration.

Q: Can I add guests to a different Campaign from the one they came from?
A: Not with an export. zkipster guests linked to a Campaign Member are always updated on that Campaign Member in Salesforce.

Q: Why do my exported guests all show as “Sent” in Salesforce?
A: The export does not create Campaign Member statuses. If the Campaign has no status that matches a guest’s zkipster status, Salesforce gives that guest the Campaign’s default status, usually Sent. Before you export, add Unconfirmed, Confirmed, Declined and Checked-in as statuses on the Campaign. See How to Export Guests from zkipster to Salesforce.

Q: Why did some records fail when I exported?
A: Your Salesforce account may have locked fields, required fields or validation rules that zkipster cannot see in advance. The Activity Log shows the exact Salesforce error for each record. See Salesforce Activity Log and Troubleshooting Failed Exports.

Q: What happens in Salesforce if I delete a guest in zkipster?
A: Nothing. There is no automatic sync, so deleting a guest in zkipster does not change any Salesforce record.

Global and multi-region accounts

Q: Several regions share one Salesforce account. How can we see which region a guest came from?
A: Salesforce only records the connected integration user, so it cannot tell regions apart. Instead, create a custom guest field in zkipster, for example Region, and fill it either:

1. directly in zkipster, on the guest or at import, or

2. by importing an existing region field from Salesforce into that custom field.

Then map the field back to Salesforce when you export. The region travels with each guest, so you can report on it in Salesforce.

Pro Tip: set up the region field when you first start using the integration. Adding it to existing guests later takes much more work.
