Learn How to Check-Out Your Guests Using Sessions

zkipster's Sessions feature, available on the Professional and Enterprise subscriptions, offers a range of possibilities when it comes to the guest management process. One of the advantages is a comprehensive report that will provide you and your team with detailed attendance data.

In this article, we will show you how to use the Sessions feature to gather check-out timestamps and how to export your post-event report, allowing you to see the timeline from when your guest arrives until they decide to leave.

Create a Check-Out Session

Once you have created a new event and uploaded your guest list, you can create a new Session via the 'Create Session' button from the Session feature.

When creating the information for your Session please make sure to follow the following recommendations:

  • Start Date - Start Time: Make sure both fields contain exactly the same information as your Event.

  • Duration (Min): The duration of your Session should match the duration of your entire Event. Keep in mind that this field works with minutes. For example, if your event lasts for a total of 5 hours, the duration of your session must be 300 minutes (5 x 60 = 300).

  • Guest Capacity: You do not need to set up a maximum capacity for this session.

  • Session check-ins linked to the main event: this option should be toggled off. The Guest will be checked in by using the normal Check-In process. Learn more about how to check-in your guests via this article here. The "Check-In" Sessions button from this specific session will be used for the "Check-Out" function.

Add your Guest to the Session

Once the Session has been created, by using the 'Action' button, you will be able to add all your Guest in bulk to the Session. The way to do this is by clicking on the 'All Guests' link (or opening a specific guest list) > Select them by ticking the checkbox from the top left of the list > Click on the 'Action' dropdown menu > select 'Add to Session' > Select the Check-Out Session you created in the previous step.

Check-In your Guest

To check in your guests at your event, use the Guest List tab on your device. Select the guest you want to check in and click the Check-In button. This will automatically check your guest into the event.

Check-Out your Guest

To check out a guest, use the "Check In" button on the Sessions that have already been created. This button will act as a Check-out Button. When your guest(s) are ready to be checked out, access the Session using the zkipster Mobile App.

To open the sessions, click on the Sessions Tab and select the check out session.

Once you open the session, you can collect your guests' checkout timestamp by tapping on their names to open their profile and then tap on the Check-In button to check out the guest.

Another way to check guests in is by swiping their names to the right, where you will find the Check-In icon displayed as a Group Icon. Select the icon to check in your guest.

If you are using QR Codes to check-in guests, you can also open the 'QR Scan' and scan the guest's QR Code to collect their check-out timestamp via the 'Check-Out' session.

Session Report - Check-In & Check-Out

Once your Event has ended, the next step is to export the Event Report. Export your report by using the 'Report' feature > Export.

The system will export an .xlsx file with all the event information. On the Guest Sheet, you will find the time at which your guests were checked in to your event (Check-In Time).

On the Session Data tab, you can view the check-out time for when your guests left the event on the Check-In Time Column. To ensure accuracy, it's recommended to use the Session Name as a filter, especially if your event includes multiple sessions. This will help avoid any overlap of times from other sessions.
